How do I find vendors like venues and catering for a reunion?

Reyoonite has a vendor marketplace for finding and booking reunion vendors.

Booking vendors — like caterers, DJs, photographers, activities, or even venues is easy with Reyoonite. We’ve built a simple workflow that lets you browse, message, quote, book, and even pay vendors securely directly from your reunion dashboard.

Here’s how it works:

Step 0: Plan the Event First!

Before reaching out to vendors, it’s best to have a vision for the event you’re booking them for. This helps you:

  • Define the event purpose, time, and setting

  • Estimate group size and duration

  • Set a realistic budget

  • Avoid forgetting services you may need

You can create a custom event from scratch or browse the Events in the Marketplace. These pre-planned experiences come with:

  • Suggested event structure, description, and cost estimates

  • Sample vendor types required, which can removed or changed

  • Cost estimates for each vendor to guide your planning

Once you’ve built your event, you’re ready to find the right vendors.

Step 1: Browse the Vendor Marketplace

Inside your committee dashboard, go to the Vendor tab. From there, you can:

  • Filter by location, price, and type of service

  • Search vendors by category (e.g. Catering, Photography, Activities)

  • View vendor profiles with photos, descriptions, and starting prices

Note: Vendors are shown based on your reunion city or region. If you haven't set a location, you'll need to do that first.

Step 2: Send an Inquiry

Once you find a vendor you’re interested in:

  1. Click Send Inquiry

  2. Provide basic event info (e.g. by linking the event you already planned)

  3. Add any special requests or notes

This starts a direct message thread between your committee and the vendor.

Step 3: Receive a Quote

Vendors will reply with:

  • A quote containing all details including terms of the agreement

  • Follow-up questions to be able to give an accurate quote

  • And some times vendors decline the inquiry with a reason of why

You can ask questions, request changes, or negotiate directly in the message thread. There’s no commitment until you accept a quote.

Step 4: Accept the Quote

Once you’re happy with the offer:

  • Click Accept Quote

  • The vendor and event are automatically linked in your itinerary

  • The price is locked in and visible on your event as such.

  • Reyoonite will hold funds securely and release them to the vendor ~30 days before the event

At this point, the event is considered confirmed and appears differently from placeholders or unbooked vendor options.

Step 5: Communicate as Needed

You can continue to message the vendor anytime:

  • Ask questions

  • Share final headcounts

  • Coordinate arrival times or logistics

All communications are stored in your vendor message thread for easy reference.
